Say goodbye to spreadsheets for refueling control

Managing refueling in a spreadsheet is not control. Bring this cost into the same place as tires and maintenance, and get a complete, centralized view of fleet performance.

how it works

The solution in 3 steps

The odometer is the key. Every liter becomes consumption, and every consumption figure goes into the cost per kilometer, along with tires and maintenance, all on the same license plate.

01 Record

Refuel

At the pump, with the fuel station card, or by entering it directly in the app. The refueling goes into the system with liters, amount and the person responsible.

02 Calculation

The system cross-checks

Liters, odometer, consumption goal and price range to calculate the consumption and the real cost of each refueling.

03 Handling

The deviation shows up

When it falls outside the standard, the system flags the record with author, date and the exact type of deviation, ready for the manager to handle.

the system

While others control the liter, Prolog closes out the total cost per kilometer

One plate, one history

The plate as the backbone and the odometer as the key: see everything the vehicle consumes in one place.

Data arrives without switching systems

Integration with pump and card or fuel station, or direct entry on the web and in the app. The source shows in the list, without the errors generated by spreadsheet control or decentralized systems.

Off-target refueling becomes an alert

Consumption goal and price range per fuel; four rules generate eight types of deviation, flagged, handled and with an associated author.

Practicality and real cost per vehicle

A complete view of every vehicle in the fleet, with refueling, tires and maintenance added up on the same plate, with no side spreadsheet.

diagnosis

Does your fleet management suffer from any of these pain points?

Fuel is the largest share of the cost. And the one that most often gets out of control.

Quota diversion

The liter that leaves the pump is not the liter that reaches the tank.

Decentralized control

Fuel, tires and maintenance, each in a different system.

Only half the cost per kilometer

Without refueling included, the number that sets the freight rate doesn't add up.

Data that doesn't match reality

The driver refuels, but the system doesn't know it.

Frequently asked questions

How much does it cost to have refueling control in my operation? Is it expensive?

Fuel is, almost always, the biggest running cost: in a good share of operations, 35% to 50% of the total. A small improvement in the fleet average gives money back every month, and that is exactly where the module works.

You start seeing the real consumption of each vehicle and each driver, identify who is running below expectations and address the cause — driving, a truck that needs mechanical attention, or fuel that never reached the tank. The investment is a fraction of a single full tank per month.

Is it complicated to implement and use Refueling in my operation?

No! You don't need to buy equipment or install anything at the pump. You need the vehicles registered, your tank registered if you refuel in-house, and a phone with the app in the hands of whoever does the refueling — it can be the device the person already uses.

The entry has just a few fields and is done right there, with the vehicle stopped. And if any difficulty comes up, our support team is ready to help.

Does it work for those who refuel at the company tank, for those who refuel on the road, or for both?

For both, and most fleets live in both worlds. At your own tank, you record the fuel that comes in and Prolog manages the balance, alerts you when the level is low and shows the difference when the tank volume doesn't match the system's.

On the road, the driver records the refueling on their phone, at the station where they are, and can attach the receipt on the spot.

Who will have to enter the refuelings day to day?

Whoever is already doing the refueling — not the office. At the in-house tank, it's the pump attendant or fueler: they enter the license plate, the liters and the mileage, and the fuel cost already comes from what you registered when fuel entered the tank, so they don't type any amount.

On the road, it's the driver, choosing the station in the app. You don't enter anything: you follow up and handle only what the system flags.

I already have fuel control in place. Can I integrate it with Prolog?

Yes, and you don't need to change anything that already works. We're against rework: when your current control is compatible, refuelings go into Prolog automatically, with no one typing, and you can also bring in recent history.

Then fuel stops being a loose number and sits on the same vehicle as the tires and maintenance.

Does Prolog show me if fuel is being diverted?

It shows you exactly where to look. You define the expected consumption per vehicle type and the price range you are willing to pay, and any refueling outside the range is flagged: average too low, price above what was agreed, two refuelings of the same fuel within a short interval.

At your own tank, checking the physical volume against the system balance reveals what wasn't entered. Instead of going through the entire spreadsheet at the end of the month, you look at the flagged cases — while still within the month, when there is time to act.

Can I find out how much it costs to run each vehicle in my fleet?

Yes! It's the main reason our customers use the module. Prolog combines fuel, tires and maintenance on the same vehicle and delivers the cost per kilometer of each license plate. It's the number that underpins the freight rate you charge, the decision to renew or sell a truck, and an honest comparison between one plate and another.

A tip: the more reliable the mileage entering the system, the more accurate that number becomes — and implementation starts precisely with that routine.
